Backing Up Data and Crash Proofing Your
Computer
When was the
last time you backed up the information on your computer? Last night?
Last month? OR you just don't remember. Maybe it was sometime last
year. If you depend on your computers like we do, you back up every
night. The most information we could possibly lose would be one
days work. But for an accounting office that could be very expensive,
not to mention trying to get the information gathered back up, etc.
Computers
can go on the blink just because they are a machine. They don't
need a reason. Sometime weather can cause your computer to go
down if it is not properly protected from lighting or power surges.
This can cause things to really go wrong with your data and even
the operating system of your computer.
How can you
be ready if something happens to your computer when you go to
turn it on to work on that big job that needs to go out right
away? There are several preventive measures that you can take
to save your computers information. However, there are no guarantees.
First of
all, BACK UP YOUR DATA. Some programs have provisions already
in place to backup their programs information. Use it. Windows
95 & 98 have a backup program that can be found by going into
"Start Menu" and selecting the following: Programs; Accessories;
System Tools; then Backup. If you have a tape backup it will have
its own procedures for backing up. Some may have bought the Iomega
Zip Drive that can be used as additional disk space or work as
your backup. It to has its own special procedures for backing
up your information.
Second, you
should have a "Windows Start Up Disk". If something goes wrong
and you can not get your computer to respond, you will need this
Disk to get started. To create a startup disk for your computer
go to: Control Panel to Add/Remove Programs then to the Startup
Disk tab then tell your computer create the disk. There is another
program that can be a lifesaver when your computer goes down called
"Emergency Repair Utility" (ERU). This program will backup the
all-important Windows System Files. This can be set up in a directory
or on a floppy for your "A Drive". This can be done using your
Windows 95 (version B) or Windows 98 CD. See your computer consultant
for proper installation of this important program.
Another way
to keep your system running smoothly is by scheduling a day each
week to run two different programs that are found in your "Systems
Tools". One is called ScanDisk and the other one is called "Disk
Defragmenter". These two programs will help in optimizing your
computer.
Be sure to
consult with a tax advisor for proper planning and implementation
of tax savings ideas to be sure they are right for you. Crash
proof your computer and save your valuable time and tax records.
